Handling Difficult Conversations: Transforming Tough Talks into Collaborative Solutions

Project Overview

Client / Context:
Created for the Knowledge Chasers portfolio to demonstrate practical, emotionally intelligent learning design for adults navigating real-world communication challenges.
Audience:
Adults who dread difficult conversations whether at work or in personal relationships and want tools to approach conflict with confidence, clarity, and calm.
My Role:
Learning Designer, Facilitator, Content Creator, and Project Lead. I owned the project end-to-end, including research, design, scripting, filming, editing, and creating all supporting job aids.
Tools & Formats:
DaVinci Resolve (video editing), Gamma AI (initial deck structure), Canva (PDF design), ChatGPT (scriptwriting and planning), YouTube (hosting). Deliverables included a multi-part video series and two downloadable job aids.
Timeline:
Approximately 2 months of planning, design, recording, and refinement.
Key Outcome:
Demonstrated my ability to design emotionally intelligent learning experiences that blend mindset, practical skills, and real-world application through a multi-part, scalable mini-course.


The Challenge

Difficult conversations often trigger intense and uncomfortable emotions, which leads many people to avoid them entirely. These moments, however, are unavoidable whether with colleagues, managers, or loved ones. Without tools to recognise emotional triggers, diffuse tension, and communicate constructively, relationships can suffer and important issues stay unresolved.
This project set out to create a supportive, practical toolkit that helps people prepare for difficult conversations, regulate their emotions, and shift from avoidance to collaboration. The goal was to help adults feel grounded, confident, and better equipped to navigate conflict with intention.

Understanding the Learners

This learning experience was built for adults who often freeze up, delay conversations, or struggle to express emotions and feedback clearly. Many felt personally attacked during conflict and lacked the confidence or language to respond effectively.
Learners needed a human, accessible framework that reframed conflict as us vs. the problem rather than me vs. you. They also needed tools that were simple, reflective, and practical enough to use both at work and in their personal lives.

Goals & Success Measures

Knowledge Goals

  • Understand the mindset shifts needed to approach conflict constructively.

  • Recognise personal conflict styles and when to adapt them.

  • Identify emotional triggers and how they affect communication.

  • Regulate emotional responses and stay centred in difficult moments.

My Approach

I began by reviewing established conflict frameworks, emotional intelligence research, books, and TED Talks, grounding the content in both evidence and lived experience. Drawing on years of supporting adults through communication challenges, I designed a programme that blends psychological insight with practical, human-centred tools.A video mini-course offered a friendly, accessible way to support learners through a sensitive topic, while the job aids provided clear visuals, prompts, and models for those who learn best through reading and reflection. These assets were designed to be reused before real conversations, grounding people emotionally and cognitively.My guiding principles were simplicity, emotional intelligence, and immediate real-world application, ensuring that learners could move from insight to action.The learning experience was grounded in real-world challenges rather than assumptions. Prior to creation, I validated the need through conversations with Customer Success Managers and a Manager, CX Operations,
reviewed common escalation themes in their workplace, and identified recurring emotional triggers from real interactions. This informed both the focus areas and success criteria for the experience.
To support continuous improvement, I embedded a short, low-friction feedback survey at the end of the experience. The survey was intentionally designed to take under two minutes and focused on confidence shifts, practical applicability, and areas for improvement; making it easy for learners to respond while still generating actionable insights.

Impact & Validation

To assess the effectiveness of the learning experience and inform future iterations, I embedded a lightweight evaluation approach focused on confidence, practical application, and learner experience.
Learner impact was measured through a short, low-friction post-session feedback survey designed to take under two minutes. The survey combined scaled questions and optional open-text responses to balance ease of completion with actionable insight.
Key outcomes included:

  • Increased learner confidence approaching difficult conversations

  • Strong perceived value of the mindset shift and practical language tools

  • Clear intent to apply the tools in real conversations

Qualitative feedback also presented opportunities for improvement, particularly around adding more practice and reinforcement to support transfer into real-world situations. These insights directly informed ideas for future iterations and potential scaling of the experience.

This hybrid approach supports learners across multiple contexts and learning styles.This project reinforced how valuable it is to pair emotional intelligence with simple, actionable tools. I’d love to expand it into a full workshop series where learners watch the video first, then join a live session to practise skills through role play and guided discussion. I also want to create a drip-style follow-up sequence with prompts or quizzes to strengthen retrieval and long-term behaviour change.



Onboarding Workflow Redesign

Redesigned onboarding from Frankenstein-information-dump to a workflow-aligned experience that helped new hires feel confident and ready to contribute faster.

The Problem

  • New hires felt overwhelmed and lost.

  • Information was either long call recordings or pages and pages of documentation.

  • Information was outdated, duplicated, and hard to apply.

  • After 3 months, people still didn’t feel confident speaking to customers or truly know how our product works.

  • Result: slow ramp, repeated questions, low early confidence.

My Approach (How I Think)

I don’t start with content. I start with how people actually work.

  • Spoke with leaders, tenured employees, and recent hires to spot friction points.

  • Mapped how new hires actually move through their first weeks, not how teams are structured.

  • Identified where people needed context, practice, or support, not more info.

What I Built

A reimagined onboarding experience structured around three pillars:

1. Big Picture
Mission, how teams fit together, and why each role matters.
2. Tools & Processes
The actual tech stack people use weekly, taught in context.
3. Product & Services
Language, scenarios, and knowledge needed to speak confidently with customers.
I also wove in cross-functional introductions to build their circle of champions at the company and feedback loops to continuously improve the experience and allow them to contribute sooner.

Outcome & Impact

  • New hires felt confident and connected earlier.

  • Faster ramp-up and fewer ad-hoc questions. (ramp 1 month faster)

  • Feedback consistently reflected that onboarding finally “made sense.”

Key Learning:
Learning only works when it respects how people actually do their jobs.



Growth Mindset for Leaders: 3 Shifts That Transform Your Team

Format:
Short-form video + practical toolkit + AI coaching prompt

People managers and emerging leaders navigating change, feedback, and uncertainty


The Challenge

Many leaders intellectually understand the idea of a “growth mindset,” but struggle to apply it in real leadership moments. Especially during change, ambiguity, or performance conversations.Common challenges included:

  • Fear of appearing unprepared or “not knowing”

  • Over-controlling or hesitating during change

  • Treating mistakes as personal failure rather than learning

  • Defaulting to compliance instead of ownership within teams

This often resulted in:

  • Reduced trust

  • Slower adoption of change

  • Teams waiting for direction instead of taking initiative

The Goal

Create a practical, human-centred learning experience that helps leaders:

  • Recognise fixed mindset patterns in themselves

  • Shift how they respond during change and feedback moments

  • Build trust, ownership, and psychological safety in their teams

  • Apply growth mindset thinking in real situations, not just theory


The Solution

I designed a multi-format learning asset focused on real leadership behaviour change:

1. Short-Form Learning Video
“Growth Mindset for Leaders” (approx. 8 minutes)

  • Opens with a relatable leadership moment (self-doubt doesn’t disappear with seniority)

  • Reframes growth mindset as a leadership skill, not toxic positivity

  • Uses a clear Fixed vs Growth comparison table

  • Walks through a realistic workplace change scenario

  • Includes a personal leadership story to model vulnerability and learning

  • Ends with three actionable mindset shifts leaders can immediately apply

Key Areas of Focus:

  • Leading through change

  • Giving feedback without shutting people down

  • Experimentation and learning

  • Managing self-doubt as a leader


2. Practical Toolkit (PDF)
To support transfer into day-to-day leadership, I created a concise toolkit that includes:

  • Why this matters (leadership behaviours tied to mindset)

  • Three mindset shifts at a glance

  • Language swaps leaders can use immediately

  • Team conversation starters to encourage reflection, ownership, and experimentation

This allowed leaders to revisit the concepts outside the video and apply them in live conversations.

3. AI Coaching Prompt (PDF)
To extend learning beyond passive consumption, I designed an AI coaching prompt that:

  • Acts as a supportive leadership coach

  • Asks one reflective question at a time

  • Builds a personalised growth-mindset development plan

  • Adapts based on the leader’s context, goals, and time constraints

  • Reinforces the three core mindset shifts from the video

This tool supports ongoing reflection and habit-building rather than one-time learning.

Impact & Signals I’d Be Looking For

Because this was standalone leadership enablement content published on YouTube, impact wasn’t measured through formal rollout metrics. Instead, I designed the content with clear behavioural signals in mind.
If this were embedded inside a leadership programme or used by teams, I’d be looking for:

  • Leaders using learning language instead of blame during debriefs (“What did we learn?” vs. “Why did this go wrong?”)

  • Greater comfort naming uncertainty (“I don’t have all the answers yet” without defensiveness)

  • Teams shifting from compliance to ownership during change initiatives

  • Increased use of small experiments and pilots rather than waiting for perfect solutions

  • Managers asking better questions in 1:1s and team discussions, especially during change or feedback moments

  • Comments, reflections, or follow-up questions indicating recognition (“This is exactly how I react when I feel unsure”)

These signals matter more than views alone, because the goal of this content is behavioural change, not passive consumption.

What I’d Measure Next (If Scaled or Embedded)

If this content were adopted inside an organisation or leadership programme, I’d want to measure:

  • Pre/post self-assessment on confidence leading through uncertainty

  • Quality of post-project debriefs and retrospectives

  • Language shifts in manager feedback and change communications

  • Team sentiment around trust and psychological safety

  • Engagement with reflection prompts, toolkits, or coaching follow-ups

This would allow the learning to move from awareness → application → habit.



Cross-Functional Handoff
Sales to CS Handoff Redesign

Turned a vague, misaligned handoff into a clear, end-to-end workflow both teams could trust.

The Problem

  • Sales and Customer Success weren’t aligned on ownership or next steps, leading to frustration and inefficiency.

  • Documentation used vague language (“should,” “could,” might).

  • Tools didn’t talk to each other (Salesforce vs Planhat).

  • Customers experienced confusion during the transition and frustration with repetition.

  • What seemed like a quick fix was actually a systemic problem.

My Approach (How I Think)

I learned quickly that this wasn’t a documentation issue. It was a shared understanding problem.
So I:

  • Started with discovery, not solutions.

  • Built rapport across Sales Enablement, Sales Ops, CS Leadership, and Business Systems.

  • Mapped the entire journey, from Prospecting to closed deal to first CS meetings and kick off.

  • Designed for the day-to-day reality, not ideal states.

What I Built

  • A black-and-white handoff workflow (clear A or B paths, no ambiguity).

  • Defined ownership for: Emails, meetings, and data fields across systems.

  • A 2-minute walkthrough video explaining the new process.

  • A live session where Sales and CS could hear each other’s concerns and questions.

  • Updated gated fields in Salesforce.

  • Updated onboarding for both teams.

Outcome & Impact

  • Smoother customer transitions.

  • Reduced internal friction and fewer dropped balls.

  • Stronger trust and collaboration between Sales and CS.

  • Clear expectations across systems, teams, and timelines.

Key Learning:
I initially underestimated the number of stakeholders involved.
Next time, I would start with a completely blank slate to understand each team’s world before designing a solution. That shift alone prevents misalignment later and smoother conversation for cross-collaboration.
